People Operations Manager

We are looking for a People Operations Manager who will play a key role in shaping our employee experience and driving engagement. You will serve as the main point of contact for our employees across two social media management software companies (Loomly and Planoly), reporting directly to the CEOs of each company. You will champion the company culture and support the leadership teams, allowing each company to develop and grow. In this role, you will be responsible for all human resources-related activities.

Austin metro area preferred for Planoly support.

Responsibilities

Onboarding

  • Draft documents related to employment and contractor engagements, including offer letters, confidentiality agreements, and compensation agreements
  • Collaborate with hiring managers to ensure new employee onboarding plan is followed before each employee's start date
  • Order all necessary equipment for new employees in collaboration with our IT provider
  • Ensure all employee accounts are operational for new employee’s first day 
  • Serve as the new employee’s first point of contact on Day 1, providing an orientation and serving as the employee’s guide through onboarding. Improve the onboarding process as necessary 

Payroll & benefits

  • Run bimonthly payroll, ensuring accuracy, compliance, and timeliness 
  • Respond to and address any questions or challenges related to benefits, healthcare, paid time off, medical leave, and other ad-hoc personnel topics
  • Lead the companies’ open enrollment periods and ensure all staff have adequate information to make informed decisions

Personnel management

  • Maintain digital copies of employees' records
  • Handle employment-related inquiries from applicants and employees, including complex and/or sensitive matters 
  • Serve as employee relations subject matter expert 
  • Respond to requests for employment verification

Employee performance

  • Oversee and continuously improve an effective performance review process
  • Support managers through staff performance issues, such as performance improvement plans, disciplinary measures, and employee termination as needed

Employee engagement & satisfaction

  • Survey and monitor through formal and informal channels to ensure we are creating a positive and fulfilling environment for our teams 

Employee policies & procedures

  • Maintain knowledge of trends, best practices, and regulatory changes in human resources, talent management, and employment law
  • Ensure that the company has clear and up-to-date policies and procedures for all necessary topics in accordance with HR best practices and parent company requirements
  • Maintain compliance with employment laws and regulations and recommend best practices; review policies and practices to maintain compliance and maintain employee handbooks and written policies
  • Ensure that all employees are aware of all policies

Office management

  • Order and stock office supplies, helping manage office budget in partnership with senior leadership 
  • Key point of contact for building management and the primary person managing building vendors and office mailbox
  • Other ad-hoc duties as assigned

You will be a good fit if...
  • Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent on-the-job experience
  • 5+ years of experience in a People Operations role
  • Working knowledge of US employment law
  • 2+ years of experience in processing payroll with advanced knowledge of payroll compliance and system configuration. Paylocity experience is a plus
  • Knowledge of best practices for HRIS configuration and data management
  • Strong knowledge of HR best practices, employment laws, and regulations
  • Ability to handle multiple priorities and navigate a rapidly changing environment
  • Excellent interpersonal and communication skills with the ability to build relationships at all levels of the organization
  • Demonstrated ability to handle confidential information with discretion
  • Strong analytical, critical thinking, and problem-solving skills
  • Highly detail-oriented and execution-focused
